Medical Office Specialist / Front Desk

Department: 1144 - Paul Elizondo Primary Care
Location: San Antonio, TX
Work Schedule: Monday through Friday 8:30 Am - 5:30 PM


 The Medical Office Specialist is responsible for clinic front office support services ensuring authorizations are obtained, financial information and related benefits, reimbursement and demographic information is up to date for consumers served; scheduling consumer appointments, collecting payments, maintaining and distributing patient schedules; creating, maintaining, and focused reviewing of client medical charts/records, reports and maintenance of the unit's New Generation Medication caseload.  


  1. Provide coverage of main reception area and main telephone, taking and relaying messages.
  2. Greets clients, visitors and the general public in the main reception area and completes daily sign-in and out log.
  3. Confirm consumersí appointments.
  4. Maintain current schedules in EMR scheduler ensuring consumer       appointments are accurately scheduled per clinician request and that reminder calls are made.
  5. Prepare and distribute scheduler reports and appointment sheets to appropriate staff.  
  6. Perform focused reviews of charts to determine financial eligibility and outpatient benefits.
  7. Run all required reports such as TMHP, Emedeon and IDX.
  8. Ensure prior authorization of services is obtained and consumers' financial information is updated/entered into EMR. Collect payments from consumers.
  9. Perform SSI/SSDI financial benefits screening and referral.
  10. Create, assemble, retrieve, refile and maintain client charts.
  11. Process release of information requests in accordance with HIPAA and Center guidelines.
  12. Performs focused reviews of charts, ensuring assigned charts are uniform, orderly, complete, and accessible to authorized individuals. 
  13. Maintain the Unit's New Generation Medication caseload. 
  14. Produce and monitor reimbursement, scheduling and service reports (e.g suspense, EM reconciliation, duplicate, NGM Reports). 
  15. Other duties as assigned


  1. High School Diploma or GED
  2. Two to three (2-3) years of medical office clerical experience to include demonstrated customer service, scheduling, electronic medical records and billing
  3. Proficiency with standard Microsoft Office applications and system databases, to include generating system reports and entering and retrieving data in EMR systems 
  4. Must maintain required credentials and mandatory training requirements to ensure compliance with all State regulations and CHCS policies
  5. Must maintain a valid driverís license and automobile insurance coverage, be able to travel as needed, and be able to meet on a consistent basis the driving record requirements of the Companyís auto insurance carrier if you drive your vehicle during company business 
  6. Must be able to meet the physical requirements to complete SAMA and CPR training including lifting up to 12 lbs. and supporting up to 55 lbs.; bending, stooping and getting on and off the floor without assistance.
