Centralized Scheduling Manager

Location: San Antonio, TX
Work Schedule: Monday through Friday 8:30 AM to 5:30 PM (some evening coverage)


 The Centralized Scheduling Manager is directly responsible for the performance and supervision of assigned teams providing supervision and direction and program implementation. This position is responsible for supervising, monitoring and training the team in the Centralized Scheduling Department. This includes organizing and monitoring the daily tasks of the Medical Office Specialists by scheduling, monitoring phone calls, assisting by triaging issues for urgent appointment and analyzing the system reports in order to give feedback about job performance.


  1. Direct supervision of the Medical Office Specialists which includes scheduling for necessary coverage and access
  2. Assess department needs and manage the development of Centralized Scheduling Policies and Procedures. Coordinate any changes to Business Units in conjunction with the Director
  3. Actively participates in the hiring process and annual employee performance appraisals
  4. Produce and analyze call reports to optimize staffing levels
  5. Provide training, performance feedback and monitoring of calls for quality and training purposes
  6. Assist the Director with managing day-to-day responsibilities ensuring adherence to agency, contract and compliance performance standards
  7. Serve as the contact person between Centralized Scheduling and the Center Business Units
  8. Triage patient calls to determine if an appointment is needed. Respond to or redirect telephone calls to appropriate departments
  9. Oversee all appointment scheduling activities and ensure that appointments are scheduled according to protocol, and schedules are set in collaboration with Business Units provider needs
  10. Monitor phone system to minimize wait times, hold times and call abandonment
  11. Work as an information source to Medical Office Specialists, assigning tasks, and follow-up to improve service to consumer
  12. Notify Business Units if an interpreter may be required
  13. Follow up on consumer complaints and seek appropriate resolution
  14. Work on projects or other duties as assigned


  1. Bachelor’s degree in a behavioral science is required
  2. Excellent written and verbal communication skills
  3. Five (5) years’ experience in management or supervision of services to population served
  4. Strong planning and prioritizing skills
  5. Ability to produce and analyze data and create action plans based on the data
  6. Proficiency with standard Microsoft Office software and system databases 
  7. Must maintain required credentials and mandatory training requirements to ensure compliance with all State regulations and CHCS policies
  8. Must maintain a valid driver’s license and automobile insurance coverage, be able to travel as needed, and be able to meet on a consistent basis the driving record requirements of the Company’s auto insurance carrier if you drive your vehicle during company business 
  9.  Must have adequate mobility that requires frequent walking, standing, bending, stooping, kneeling, reaching (vertical and horizontal), using fingers, hands, feet, legs and torso in various care. The employee must be able to regularly lift and/or move up to 20 pounds and occasionally must lift and/or move up to 25 pounds. The employee must be able to occasionally transfer a consumer.
